Our commitment to clear data protection

British Reseller Panel is operated by Autven (Private) Limited. This notice explains our responsibilities as a controller and, in some situations, as a processor for reseller-managed information.

1. Who This Privacy Policy Applies To

This Privacy Policy applies when you browse our website, submit a form, communicate with us by email or messaging service, request information, purchase a service, manage a reseller account or receive support from our team. It also applies to authorised representatives of business customers and suppliers who communicate with us.

This Privacy Policy does not replace the privacy notice of a reseller who independently collects information from their own customers. If you purchased a service from one of our resellers, that reseller may be responsible for explaining how they use your information.

2. Our Role as Controller and Processor

For information collected through our public website, sales process, billing records and direct support conversations, British Reseller Panel generally acts as a data controller. This means we decide why and how that information is processed.

Where a reseller uses our management platform to enter, organise or manage information relating to their own customers, the reseller generally remains the controller and we may act as a data processor on the reseller’s documented instructions. Resellers must have a lawful reason for collecting customer information and must provide their own privacy information where required.

We do not claim ownership of personal information entered by a reseller about their customers. We process that information only to provide, secure, maintain and support the relevant platform functions, subject to our agreement with the reseller and applicable law.

3. Personal Information We Collect

The information we collect depends on how you interact with us and may include:

  • ✓Identity and contact information: name, business name, email address, telephone or WhatsApp number, country and preferred contact method.
  • ✓Account information: username, account identifier, role, preferences, authentication records and information needed to administer your reseller account.
  • ✓Order and transaction information: services or credits requested, transaction date, amount, currency, payment status, invoice details and transaction references. Card and wallet payments are handled by third party providers; we do not intentionally store complete payment card credentials.
  • ✓Support and communication information: contact form submissions, emails, messages, support requests, attachments, call notes and the dates and times of communications.
  • ✓Technical and usage information: IP address, device type, browser, operating system, referring page, pages visited, approximate location derived from IP address, timestamps, error reports and security logs.
  • ✓Cookie information: identifiers and preferences stored or accessed through cookies and similar technologies, subject to your choices and applicable law.
  • ✓Business verification information: information reasonably required to verify an order, prevent fraud, confirm authority or meet legal and accounting obligations.

We do not normally request special category information such as health, biometric, religious or political information. Please do not send this type of information unless we specifically ask for it and explain why it is required.

4. How We Collect Personal Information

We collect information directly from you when you complete a form, contact support, request a demonstration, place an order or operate an account. We also collect limited technical information automatically through server logs, security tools and cookies.

We may receive transaction confirmation from payment providers, referral information from another customer where appropriate, or business contact information from a person authorised to act for your organisation. If information comes from another source, we use it only where we have a lawful reason to do so.

5. How and Why We Use Personal Information

We may use personal information to:

  • ✓answer enquiries and arrange demonstrations
  • ✓create, administer and secure reseller accounts
  • ✓process orders, allocate credits and provide requested services
  • ✓issue transaction confirmations, invoices and important service notices
  • ✓provide onboarding, account assistance and technical support
  • ✓diagnose errors, maintain availability and improve website or platform performance
  • ✓detect fraud, misuse, unauthorised access and security threats
  • ✓enforce our terms, protect our legal rights and resolve disputes
  • ✓maintain accounting, tax and compliance records
  • ✓understand website performance and visitor journeys, where permitted
  • ✓send relevant service news or marketing where we have permission or another lawful basis
  • ✓comply with lawful requests from courts, regulators and public authorities

We do not sell or rent personal information. We do not use personal information supplied through our platform to build unrelated advertising profiles.

6. Our Lawful Bases for Processing

Where UK data protection law applies, we rely on one or more of the following lawful bases:

  • ✓Contract: processing is necessary to take steps at your request or to provide a service under our agreement with you.
  • ✓Legitimate interests: processing is necessary to operate, improve and secure our business, respond to customers, prevent fraud, manage disputes and protect our systems, provided those interests are not overridden by your rights.
  • ✓Legal obligation: processing is necessary to comply with tax, accounting, regulatory or other legal duties.
  • ✓Consent: you have made a clear choice, for example for certain marketing communications or non essential cookies. You may withdraw consent at any time.
  • ✓Recognised legitimate interests or other legal grounds: where a ground introduced or clarified by applicable UK law lawfully applies to a specific activity.

The lawful basis can affect which rights are available in a particular situation. Contact us if you would like information about the basis used for a specific activity.

7. Cookies and Similar Technologies

Our website may use cookies, pixels, local storage and similar technologies to keep the site secure, remember preferences, measure performance and understand how visitors use our pages. Cookies may be set by us or by approved service providers.

We may use the following categories:

  • ✓Strictly necessary cookies required for security, forms, sessions and core website functions.
  • ✓Functional cookies that remember choices and improve usability.
  • ✓Analytics cookies that help us understand visits, navigation and page performance.
  • ✓Marketing cookies used to measure campaigns or provide relevant marketing, where enabled.

Where consent is required, non essential cookies will not be activated until you make a positive choice. You can accept, reject or adjust available categories through our cookie controls and may change your browser settings at any time. Rejecting optional cookies should not prevent access to the main website, although some optional features may work differently.

For official information about cookies and consent, see the ICO guidance on cookies and similar technologies.

8. When We Share Personal Information

We disclose personal information only where necessary and proportionate. Recipients may include:

  • ✓hosting, cloud infrastructure, security and backup providers
  • ✓payment processors, banks and transaction providers
  • ✓email, messaging, form and customer support providers
  • ✓analytics and performance providers, subject to cookie choices
  • ✓professional advisers such as accountants, auditors or legal advisers
  • ✓companies supporting a corporate restructuring, sale or transfer, subject to appropriate confidentiality measures
  • ✓courts, regulators, law enforcement bodies or public authorities where disclosure is legally required or necessary to protect rights and safety

Service providers may process information only for authorised purposes and must apply appropriate security and confidentiality measures. We do not disclose reseller or customer information to unrelated third parties for their independent marketing.

9. International Data Transfers

Our business, team members and service providers may operate in the United Kingdom, Pakistan and other countries. Personal information may therefore be accessed, stored or processed outside the country in which it was collected.

Where a transfer is restricted by UK data protection law, we take steps to use an applicable transfer mechanism and appropriate safeguards. Depending on the destination and circumstances, these may include UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to approved contractual clauses, contractual protections, access controls and data minimisation.

You may contact us for further information about safeguards relevant to a particular transfer.

10. How Long We Retain Personal Information

We keep personal information only for as long as it is reasonably needed for the purpose for which it was
collected and to meet legal, accounting, security or dispute resolution requirements. Retention periods vary
according to the type of information and the relationship involved.

As a general guide, enquiry and support records may be retained for up to two years after the latest
meaningful interaction. Account and service records may be kept for the duration of the relationship and a
reasonable period afterwards. Transaction, invoice and accounting records may be kept for up to six years, or
longer where law requires. Security logs are normally kept for a shorter period unless they are needed to
investigate an incident or protect legal rights.

When information is no longer required, we delete it, anonymise it or securely isolate it until deletion is
technically completed through normal backup cycles.

11. How We Protect Personal Information

We use reasonable technical and organisational measures designed to protect personal information against unauthorised access, loss, alteration, disclosure and misuse. Measures may include encrypted connections, access controls, authentication safeguards, system updates, backups, logging, staff access restrictions and provider due diligence.

No internet service can guarantee absolute security. You are responsible for using a strong, unique password, keeping credentials confidential and notifying us promptly if you suspect unauthorised account activity.

12. Privacy Policy and Your Data Protection Rights

Depending on the circumstances and applicable law, you may have the right to:

  • ✓ask for access to your personal information
  • ✓ask us to correct inaccurate or incomplete information
  • ✓ask us to erase information where no valid reason for retaining it applies
  • ✓ask us to restrict processing in certain circumstances
  • ✓object to processing based on legitimate interests or to direct marketing
  • ✓receive certain information in a portable format
  • ✓withdraw consent where processing relies on consent
  • ✓complain about how your information has been handled

Rights are not absolute and exemptions may apply. We may need to verify your identity and clarify your request. We normally respond without undue delay and within one calendar month. Where permitted for a complex request, the period may be extended, and we will explain the reason.

For more information, visit the ICO guidance on data protection rights. Requests can be submitted through our Contact page.

13. Marketing Choices

Service messages about an account, security, transaction or material policy change are not marketing and may be sent where necessary. Promotional communications will be sent only where permitted by law.

You can opt out of marketing by using an unsubscribe option where provided or by contacting us. Opting out of marketing will not prevent essential account or service communications.

14. Automated Decision-Making

We do not currently make decisions about you based solely on automated processing where those decisions produce legal or similarly significant effects. Security tools may automatically flag unusual activity, but significant action is reviewed where appropriate.

If this changes, we will update this Privacy Policy and provide information about the logic involved, likely consequences and safeguards available to you.

15. Children's Privacy

Our website and reseller management services are designed for business users and are not intended for anyone under 18. We do not knowingly collect personal information directly from children. If you believe a child has provided information to us, contact us so that we can review and delete it where appropriate.

16. Third-Party Websites and Services

Our website may link to third party websites, payment services, messaging platforms or other independent services. Those organisations control their own privacy practices. This Privacy Policy does not cover a third party’s independent processing, and we recommend reading its privacy notice before providing information.

17. How to Make a Privacy Complaint

If you are concerned about the way we use personal information, contact us first and clearly mark your
message “Privacy Complaint”. We will provide an accessible way to submit the complaint,
acknowledge it within 30 days and respond without undue delay, in line with applicable requirements.

We will investigate the issue, keep you informed where appropriate and explain the outcome. You also have the
right to complain to the UK Information Commissioner’s Office. Details are available through the
ICO
complaints service
.

18. Changes to This Privacy Policy

We may update this Privacy Policy when our services, providers, security practices or legal obligations change. The latest version will be published on this page with an updated date. If a change materially affects how we use personal information, we will take reasonable steps to bring it to the attention of affected users.

We encourage you to review this Privacy Policy periodically. A privacy notice explains processing practices; it does not remove any rights provided by law.
